# Data access

> Give Google accounts and service accounts read-only access to your workspace data for BI tools, and test that the access works.

Data access gives a BI tool read-only access to your workspace's data, without making it a workspace user. There are two kinds of account, both managed under `Workspace` > `Data Access`. To connect a specific tool, follow its [BI tool guide](/external-bi-tools/overview).

| Account | Use it for |
| - | - |
| Google user | Google tools: Google Sheets, Looker Studio, BigQuery |
| Service account | Power BI, Excel, Metabase, Tableau and other non-Google BI tools |

> [!WARNING]
>
> Access through service accounts is subject to fair usage under the [Terms of Service](https://www.enhanza.com/terms-of-service/).

## Give a Google account access

1. Go to `Workspace` > `Data Access`. Under `Google users`, click `Add Viewer`.
2. Fill in the fields:
   * *Email*: a Google-connected email, such as a Gmail or Google Workspace address
   * *Description*: optional, for your own reference
3. Click `Grant data access`.

To revoke access, open the email's `⋮` menu and click `Remove data access`.

## Create a service account key

1. In Enhanza, go to [`Workspace` > `Data Access`](https://app.enhanza.com/settings/workspace/data-access).
2. Under `Service accounts`, click `Create Service Account` if the workspace doesn't have one yet.
3. Click `Create Key`.
   * Give the key a description, so you can tell keys apart later.
   * Save the downloaded `.json` key file somewhere safe. Anyone with the file can read your workspace data.

BI tools ask for the service account's email together with the key file. The email shows under `Your service account`.

To revoke a key, open its `⋮` menu and click `Delete key`.

## Test access

Use this when a BI tool can't read your data.

1. Go to `Workspace` > `Data Access`.
2. Under `Test access`, enter the Google email or the service account's email.
3. Click `Test access`.
